Terms of Service

1. Who we are, and what these terms cover

Tournabot is a Discord-first tournament operations platform — scrims, brackets, verified results, community management, security and broadcast overlays, run from a Discord server and a web dashboard. The service is operated by cintemp (“Tournabot”, “we”). These terms are an agreement between that entity and the organisation that creates a Tournabot workspace (“you”, the “organisation”). By creating a workspace or paying for a plan you accept them.

2. Your organisation and your workspace

  • One organisation is one Discord guild, on every plan. There is no multi-guild allowance. An operation running several servers — say qualifiers feeding a finals server — buys one workspace per server; a linked billing group joins them under one owner identity, one payment instrument and one consolidated invoice, and staff are recognised across the group without re-onboarding.
  • Standings, analytics, points tables and rosters are per workspace. There is no cross-workspace rollup, and nothing in the product joins seasons across workspaces.
  • You are responsible for the people you add as staff and for what they do with the access you give them. Staff-seat counts are plan limits.

3. Your Discord application and account

  • The Free plan runs on Tournabot’s shared, pooled Discord bot. Every paid plan runs on a Discord application you create in your own Discord developer account through our guided wizard, and you own it. You can swap the connected application from the dashboard at any time, in either direction, with no data migration.
  • Your use of Discord — including the application you create — is additionally governed by Discord’s own terms and developer policies. Tournabot depends on Discord’s APIs; conduct that puts your application or a shared resource at risk (for example, traffic that triggers Discord’s abuse controls) may be contained by moving your workspace to a quarantine egress address until it stops. Quarantine is free, automatic to exit once the behaviour stops, and never a paid feature.
  • If your subscription lapses, your workspace returns to the Free plan on the pooled bot. We retain your application credential record for 12 months so re-subscribing reconnects the same application without re-running the wizard; after 12 months dormant it is purged.

4. Plans, billing and taxes

  • Subscriptions are billed per 28 days, not calendar months. Every paid plan also sells as fixed-duration passes (1 day, 7 days, or 28 days). All prices are GST-inclusive Indian rupees, payable through Indian payment rails (Razorpay / UPI) only. Invoices carry our GSTIN. We do not sell in other currencies.
  • Your subscription clock starts when your bot comes online, not at checkout — capped at 14 days from payment, after which it starts regardless. Time spent in setup is not billed time.
  • A payment that fails grants nothing: entitlements activate only when payment succeeds. On a chargeback we open a support dispute on notice. Paid entitlements stay until support reviews and may freeze or revoke them; restoration also goes through support.
  • Metered capacity — OCR extractions and object storage — is sold as prepaid packs, never postpaid. When a pack runs out, extraction degrades to manual entry, which is always free and unlimited. There is no usage-based invoice and no surprise bill, ever.
  • Add-ons (the Live Production Suite, concierge application provisioning, OCR packs) are priced separately from plans and follow the same prepaid, INR-only rules.
  • We may change prices prospectively. A price change never applies to time you have already paid for.

5. What Tournabot never does with participant money

The money boundary

Tournabot does not collect entry fees or slot fees from participants, does not take a percentage of anything, and does not hold, custody or pay out prize money — on any plan, through any feature. Fee tracking in the product is a manual “fee paid” flag and an amount-due suggestion recorded by your own staff; role access driven by that flag is a record of your off-platform arrangement, not a payment. Money between you and your players is your own business, conducted entirely outside Tournabot, and you are solely responsible for its legality in your jurisdiction — including under India’s Promotion and Regulation of Online Gaming Act, 2025.

6. Organisation responsibility for players, data and minors

You carry legal responsibility for your players

Tournabot’s customer is the organisation, not the player. No money is ever taken from a player through Tournabot. You curate your own participants and you carry the legal responsibility for them — including data protection and retention for participant data you instruct us to process, eligibility rules for your events, and minors. Tournabot does not collect player dates of birth or age data, does not gate entry on a player’s age, and is not responsible for minors who participate in your events or communities. Where you record an organisation-level adult-population attestation, that attestation is yours. We provide software; we do not stand in your shoes as the organiser.

7. Acceptable use

  • Do not use Tournabot to operate online money games, betting or wagering, or to facilitate financial transactions for them.
  • Do not attempt to defeat plan limits, entitlement checks or the platform’s security and abuse controls, and do not use the service to violate Discord’s terms, attack third parties, or process data you have no right to process.
  • Conduct Network reports you write about players must be honest records made in good faith within the categories the product provides.

8. Your content and your data

  • Your tournament data, member records, results, media and configuration remain yours. You grant us the licence needed to host, process, display and transmit them to run the service — nothing more.
  • Data retention follows your plan’s retention window (45 days on Free, 12 months on Scrim, 24 on Pro, 48 on Circuit). Analytics export (CSV) is available from Scrim upward, and the REST API and webhooks from Pro upward.

9. Branding and white-label

Free, Scrim and Pro surfaces rendered by Tournabot carry a “Powered by Tournabot” mark; Circuit removes it and adds the managed bot-branding surface. Audience-facing pages are served on your own subdomain of tournabot.com; a custom domain of your own is not part of any plan. Registration emails send under your name from a Tournabot-operated mail domain, and your staff sign in at app.tournabot.com — those two facts are part of the white-label claim, not an exception to it. The Tournabot name, logo and software remain our property; no plan transfers any intellectual property in the platform.

10. Availability and support

  • Circuit carries a 99.5% monthly availability SLA. Credits are claimed (not automatic), are capped at 10% of the affected period’s fee, and exclude Discord-side outages, force majeure and the published maintenance window. Plans below Circuit carry no contractual SLA.
  • Circuit includes a named support contact. Every paid plan includes first-cycle onboarding help.

11. Trials

The trial is 14 days of Pro, without a card — one per Discord account and one per guild (which is one per organisation). Trials start on the pooled bot with the onboarding wizard offered throughout; completing it moves the trial onto your own application immediately.

12. Suspension and termination

  • You can cancel at any time from the dashboard. Paid access runs to the end of the paid period; what happens to money already paid is governed by the Refund Policy.
  • We may suspend or terminate a workspace that materially breaches these terms — including the acceptable-use rules and the money boundary in section 5 — or where required by law. Where practicable we warn first and suspend narrowly before terminating.
  • On termination your workspace returns to Free or is closed; data past the applicable retention window is deleted in the normal cycle.

13. Disclaimers and liability

  • The service is provided “as is” except where these terms say otherwise (section 10’s SLA is the exception, at the tiers that carry it). We do not warrant uninterrupted operation of Discord or any other third-party platform the service depends on.
  • To the extent permitted by law, our total liability for any claim arising from the service is capped at the amount you paid us in the 12 months before the event giving rise to the claim, and neither party is liable for indirect or consequential loss. Nothing limits liability that cannot be limited under applicable law.

14. Changes to these terms

We may update these terms. Material changes are announced to the workspace owner with reasonable notice before they take effect; continuing to use the service after the effective date accepts the change. The current version always lives at this address.

15. Governing law and disputes

These terms are governed by the laws of India. Courts at Hapur have exclusive jurisdiction, subject to any mandatory law that says otherwise.
